Operations Associate
We are currently seeking a highly organized and detail-oriented Operations Associate to join our esteemed recruitment firm. As an Operations Associate, you will play a crucial role in supporting the day-to-day operations of the organization and ensuring smooth and efficient processes. The ideal candidate will have excellent organizational and multitasking skills, strong attention to detail, and the ability to thrive in a fast-paced environment.
1. Assist in the coordination and execution of recruitment processes, including job postings, candidate screening, interview scheduling, and offer management.
2. Maintain accurate and up-to-date candidate information in the applicant tracking system (ATS) and other relevant databases.
3. Coordinate and schedule interviews between candidates and hiring managers, ensuring timely communication and a positive candidate experience.
4. Prepare and distribute recruitment-related documentation, such as offer letters, contracts, and onboarding materials.
5. Support the recruitment team in conducting reference checks and background screenings for selected candidates.
6. Manage the organization and storage of recruitment files and documentation, ensuring compliance with data protection and privacy regulations.
7. Assist with the creation and distribution of recruitment reports and metrics to monitor and evaluate the effectiveness of recruitment efforts.
8. Collaborate with the HR team to ensure seamless integration of new hires into the organization.
9. Assist in the development and implementation of recruitment strategies and initiatives to attract top talent.
10. Support the administrative needs of the recruitment team, including managing calendars, organizing meetings, and preparing meeting materials.
1. Proven experience in an administrative or operations role, preferably within a recruitment or HR environment.
2. Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines in a fast-paced setting.
3. Excellent attention to detail and accuracy in data entry and documentation.
4. Proficiency in using MS Office Suite and other relevant software and systems.
5. Familiarity with applicant tracking systems (ATS) and other recruitment tools is a plus.
6. Strong communication and interpersonal skills, with the ability to work effectively with candidates and internal stakeholders.
7. Ability to maintain confidentiality and handle sensitive information with discretion.
8. High level of professionalism and a customer service-oriented mindset.
9. Ability to work both independently and collaboratively within a team.
